The Office & Project Coordinator is responsible for supporting daily office operations while assisting with project administration, estimating, procurement, and document control. This role serves as the first point of contact for clients and vendors and plays a key role in ensuring projects are organized, documented, and progressing efficiently from estimate through completion.
Essential Duties and Responsibilities:
Office Administration
* Answer and direct incoming phone calls professionally and efficiently.
* Monitor and respond to company emails.
* Greet clients
* Schedule appointments, meetings, and project-related activities.
* Maintain electronic and physical filing systems.
* Prepare correspondence, reports, and other office documents.
* Assist with general administrative tasks to support office operations and the management team.
Estimating Support
* Assist in the preparation and assembly of project estimates and proposals.
* Request and track vendor and supplier pricing.
* Organize estimate documentation and maintain estimating records.
* Follow up on outstanding bids and customer inquiries as directed.
Project Administration
* Create and maintain project files from award through closeout.
* Monitor project documentation including:
* Contracts and purchase orders
* Change orders
* Shop drawing submittals
* RFIs (Requests for Information)
* Material approvals
* Project correspondence
* Deposits and progress payments
* Track project milestones and notify management of pending deadlines.
* Assist project managers with project documentation and coordination.
Procurement & Material Tracking
* Prepare and issue material purchase orders.
* Coordinate material orders with vendors and suppliers.
* Track material deliveries and communicate schedule updates.
* Maintain records of material costs, lead times, and delivery status.
* Follow up on delayed or missing shipments to support project schedules.
Qualifications
* Associate degree or higher preferred.
* 2+ years of administrative, office coordination, project coordination, or construction administration experience required.
* Strong organizational and time management skills.
* Excellent verbal and written communication skills.
* Ability to manage multiple priorities
* Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google.
* Strong attention to detail and accuracy.
