Job Summary

Universal Staffing has an outstanding opportunity for a part-time, temporary Administrative Assistant with Marketing Coordinator aspirations who is looking for a summer job (possibly longer!) and loves tourism, teamwork, and Carmel-by-the Sea.


This position is right for someone who is outgoing, organized, and creative; someone who can motivate themselves while working independently and provide stellar administrative support to the owners and their business associates!


Responsibilities

Provide excellent administrative support to an ambitious and fun team, including scheduling committee and board meetings, managing calendars, setting up meeting spaces, and organizing the day to day.
Assist in the preparation and distribution of internal communications and reports.
Taking notes, this is essential and important to the success of internal workflow.
Handle incoming inquiries and correspondence, both online and offline.
Provide basic website updates, create social media content, blog posting, flyers, pamphlets, brochures, presentations, and ad hoc marketing materials.
Occasional client visits to deliver marketing materials, advertising, and general updates/meet and greet.
Project management and workflow organization.
Remain focused, organized, positive, and motivated!


Qualifications


Pursuing a part-time temp opportunity that starts July 1st.
Tech savvy, eye for detail, creative, organized.
Understanding of the level of importance an administrative assistant plays to busy teams.
Strong written and verbal communication skills.
Scheduling pro - must be able to schedule high-level board meetings and committee meetings.
Project management skills.
Strong note taking is essential for this role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with social media platforms.
If you have basic experience with canva, wix, or similar (professional or personal) you are ahead of the curve!
Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
Comfortable with client facing meetings.
Availability to work part-time hours on a temporary basis.
Excellent communication and interpersonal skills.
Ability to work independently and prioritize tasks effectively.
Detail-oriented with a high degree of accuracy.
Strong analytical and problem-solving skills.
Ability to maintain confidentiality of sensitive information.
