👩💻 Essential Responsibilities:
⚕️Patient Care & Client Experience
- Help guide patients through their care journey from start to finish, ensuring they feel supported, informed, and welcomed.
- Greet patients warmly in person and by phone
- Schedule and coordinate appointments (in-person & telehealth)
- Maintain accurate patient files, accounts, and communications for the clinical team
- Collect payments and prepare invoices
- Verify insurance benefits and perform monthly eligibility checks
- Manage referrals and ensure patients are fully set up to begin care
- Submit treatment authorizations through online insurance portals
- Handle medical record requests, subpoenas, and communication from outside providers
😷 Clinic Safety & Cleanliness
- Support a clean, safe, and well-maintained healing environment.
- Follow clinic safety protocols, including workspace sanitizing and patient screening
- Communicate safety procedures clearly to patients and staff
🖥️ Office Operations & Administration
- Keep the clinic organized, efficient, and running smoothly behind the scenes.
-Manage voicemail, email inboxes, and fax communications
- Sort mail and packages; prepare outgoing mail
- Update clinic staff on workflow changes and office processes
- Support the billing department with payment tracking, EOB management, and bank deposits
🔍 What We’re Looking For:
- Experience in a medical or healthcare office (preferred but not required)
- Compassionate, grounded, and people-centered communication style
- Strong organizational skills and attention to detail
- Ability to multitask and stay calm in a dynamic environment
- A genuine desire to grow and learn
- Team-oriented mindset
- Comfort with phones, scanners, printers, and tech troubleshooting
- Experience verifying insurance or submitting authorizations (preferred)
- Spanish-speaking is a plus
